Instruction for Chairpersons and Speakers (On site presentation)

Format of the Meeting

All sessions will be held onsite at PACIFICO Yokohama, but it has been decided to convene the meeting in a hybrid format as outlined below.
Please refer to further information on the General Oral Sessions and Poster Sessions below.

Presentation Method for Oral Sessions, including General Oral Sessions

Speakers and chairs for all oral sessions may choose one of the following presentation methods.

We will notify chairs and speakers about the details later on.

①Deliver a presentation onsite at the JCA2021 meeting in Yokohama (Live).

②Deliver a presentation online (Live)(using Zoom)

③Submit a pre-recorded video, and participate in the online Q&A Discussion (Live)(using Zoom)

Note: General Oral sessions can only be viewed/listened to by participants at the onsite venue.

Presentation Method for Poster Sessions

Presenters may choose one of the following presentation methods.
We will notify presenters about the details later on.

①Make a presentation onsite at the JCA2021 meeting in Yokohama (Live)(Poster Mounting, Poster Discussion, and Streaming of pre-recorded presentation voice *)

②Submit the poster data to the congress secretariat before the meeting(Poster Mounting, and Streaming of pre-recorded presentation voice *)

* Only those who prefer to make a voice recording.

Poster Mounting in case presenters are not able to participate onsite

  • For the presenters who reside in Japan: Please send your printed poster to the congress secretariat by postal mail, etc. in advance. The congress secretariat will post it at the congress venue.
  • For the presenters who reside outside of Japan: Please submit your poster data electronically.

Voice Recording

  • Voice recording for poster presentations would be uploaded to the online meeting page and will be streamed live only on the presentation date, 10:00-19:00 (JST). On-demand streaming will not be available. Poster viewing online will not be available.
  • The congress secretariat will post the poster at the congress venue together with a QR code which will link to an online meeting page.
  • Meeting participants onsite can listen to the presentation voice by capturing the QR code using their own mobile devices.
  • Voice recording for poster presentations is accepted not only for those who submit the poster data before the meeting but also for those who will make a presentation onsite. (All voice recordings need to be submitted in advance.) *
  • Recording and submission details will be informed separately to those who prefer to make a voice recording.

*We recommend the submission of voice recording to those who apply for the JCA Young Researcher Poster Award.

Note: Posters can only be viewed by participants at the onsite venue.

How to submit pre-recorded video (Oral Session)

For speakers who chose submission of a pre-recorded video (and participate in the online Q&A Discussion) as participation method, please prepare your presentation video (mp4) by using PowerPoint / keynote with audio or by recording with Zoom app.

Data Submission Deadline: Monday, September 6

Notes

  • Prepare pre-recorded video in English with using default-setting fonts of Windows 10(Times New Roman is recommended).
  • After the title slide, please insert the slide for COI disclosure regarding lead presenter and responsible researcher. For further information, you can visit Conflict of Interest Page.
  • Make sure that all the data and sound appear properly under XGA (1024 x 768) monitor size (resolution).
  • Data Volume should be maximum 5GB for invited Sessions, and maximum 1GB for general oral Sessions.
  • Write file names in the following manner: "Abstract number_ Speaker's name ".
  • Screen ratio should be 16:9.
  • Presentation time for General Oral Sessions is 8 minutes. The congress secretariat will notify presentation time for Invited Sessions separately.

How to submit pre-recorded presentation voice (Poster Session)

For presenters who chose submission of a pre-recorded presentation voice, please record your voice using application installed in your mobile phone or any devices and save the data in mp3. Please record the presentation in 4 minutes.

How to submit poster data before the meeting (Poster Session)

For presenters who chose submission of poster data to the congress secretariat before the meeting, please make the poster data and label data according to the notes below, so that secretary can print them properly on behalf of the presenter.

Notes

  • Please prepare the poster in English.
  • The poster should contain the COI disclosure statement. For further information, you can visit Conflict of Interest Page.
  • Poster make the poster in 140cm high ×120cm wide.
  • Please make the poster label in 20cm high ×100cm wide to indicate the poster title, author’s name and affiliation.
  • Please use large-sized characters for easy reading.
