Information for Chairs and Speakers

For Chairs and Speakers

  • We kindly ask all Chairs and Speakers to follow the session schedule to ensure smooth proceedings.
  • Chairs need to be seated in the "Next Chair's Seat," located at the front right of the session room, at least 15 minutes before the session begins.
  • Speakers are requested to register their presentation data at the Speakers’ Preview Desk at least one hour before the session starts and be seated in the "Next Speaker’s Seat" 15 minutes before their presentation.

Speakers' Preview Desk

  1. All presentation files should be checked and registered at the Speakers’ Preview Desk at least one hour before your session starts. The desk is located in the 4th-floor Foyer and will be open during the following hours:

  2. If your presentation is scheduled for an early morning session, we recommend registering your data the day before.
  3. For those using a USB drive, the PC operator will assist in copying your presentation to the server. Please note that all presentation data will be deleted after the congress concludes.

Guidelines for PC / Mac Presenters

  1. Please bring your presentation on a USB drive or your own laptop.
    • If you're using a Mac, be sure to bring your own laptop, as the onsite system is not Mac-compatible.
    • Only PowerPoint presentations will be accepted.
  2. We kindly ask that you respect your allotted presentation time and follow the Chair's instructions during the session.

Presentation Data Guidelines

  1. All presentation slides must be in 16:9 format.
  2. The onsite operating system is Windows 11 (PowerPoint Office 365), which is not compatible with Mac. Mac users are encouraged to bring their own computers.
    1. Supported PowerPoint Versions:
      • Windows: 2010/2013/2021
    2. For Mac Users:
      • If your presentation was created using Keynote, please convert it to PowerPoint and double-check for any formatting issues.
  3. Use default Windows fonts like Times New Roman, Arial, or Courier.
  4. If your presentation includes videos, we recommend using your own laptop for smooth playback. The preferred video formats are WMV/MP4.
  5. Please ensure your presentation has been checked for viruses, and don’t forget to bring a backup copy.

Using Your Own Laptop

  1. Please disable passwords, screensavers, and power-saving settings before your presentation.
  2. The venue provides Mini D-Sub 15-pin connectors and HDMI cables. If your device requires a different connection, kindly bring the appropriate adapter.

  3. Remember to bring your AC adapter.
  4. After previewing your data, please take your laptop to the operation desk in your session room 15 minutes before your presentation.
  5. If your Mac has Type C connectors, please also bring a USB backup of your presentation.
  6. We recommend using genuine Apple products for conversion cables that are compatible with your device.
  7. Please be aware that if there are any connectivity issues with the projection equipment, you may be required to use a PC provided by the Secretariat for your presentation.

Poster Presentation Guidelines

Posters will be available for viewing on-site on Saturday, November 16 and Sunday, November 17. Viewing will be divided into two groups:

  • Group A: Friday, November 16
  • Group B: Saturday, November 17

  • Pins for mounting posters will be provided by the Congress Secretariat.
  • Poster presenters are kindly requested to stand by their posters during scheduled breaks to answer questions.
  • Please note that the Congress Organizer is not responsible for posters that are not removed on time.

Poster Board Specifications

  • The poster board size is 90 cm wide and 160 cm high.
  • Mount your poster on the designated panel in the venue.
  • The presentation number on the upper left corner will be prepared by the secretariat.

Poster Printing and Setting-Up Service

  • A paid poster printing and Setting-Up service is now available for presenters.
  • The deadline for applying for this service is November 11.
